DOC.mobile Solution - Strategic Maintenance

Know what your buildings need. Before it gets expensive.

Large property owners manage many buildings without a reliable picture of condition and maintenance backlog. Strategic Maintenance delivers it with four basic data points and one walk-through per building: what is broken, what is due, what no longer meets the standard - and what it costs.

DIN 276 ISO 55001:2024 GEFMA 190 10-year plan
The principle

Assess instead of measure.

Steering a portfolio strategically needs neither quantity surveys nor a property valuation. It needs a comparable judgement on every building. Type, floor area and year of construction are enough to start. On the walk-through your team gives each building element group a condition grade and two traffic lights - for energy and regulations. Findings with photo and cost are recorded only where they are needed. Benchmark values per building type are provided as master data; DOC.mobile calculates the rest.

Two stages - one tool.

In the screening you assess every building across 13 element groups based on DIN 276, graded 1 to 5. This yields maintenance backlog, backlog ratio, due dates and renewal needs. In the finding you record the specific defect wherever there is a risk, an operator obligation or a red traffic light: photo, voice note, measure and cost - directly in the app. Both flow automatically into the prioritised 10-year plan.

  • 13 element groups
  • Condition grade 1-5
  • Energy traffic light
  • Regulations traffic light
  • Priority P1-P5
  • 10-year plan
  • Backlog ratio per building
  • ESG bundling
The solution

Screening and findings in one tool.

The EU Energy Performance of Buildings Directive (EPBD 2024) requires "worst first" for non-residential buildings: the 16 % worst-performing buildings must be renovated by 2030, the worst 26 % by 2033. Owners who know their portfolio can plan this obligation together with the maintenance that is due anyway.

Screening of every building Type, area and year built are enough. One grade per element group plus two traffic lights for energy and regulations.
Findings only where needed For risks, operator obligations or a red light: defect with photo, voice note, measure and cost in the app.
Priority with a reason Cause and urgency determine priority P1-P5. Mandatory measures always come first.
Portfolio KPIs Backlog ratio, renewal needs, energy and regulations ratio - per building, complex and site.
10-year plan Findings and due renewals - with an age limit for building services - against the budget benchmark.
ESG bundling Energy light amber or red and renewal due anyway: that is the window for the energy retrofit.
The benefits

What Strategic Maintenance does for your portfolio.

01

Little data, fast assessment

Element groups instead of individual components: a building is captured in a few hours. Benchmarks per building type replace quantity surveys.

02

Risk under control

Safety and operator obligations under GEFMA 190 are recorded separately and planned first - with the legal basis attached to the finding.

03

Targeted spending

Budget goes where backlog and criticality are highest. Bundled measures reduce the extra cost of energy retrofits.

04

Traceable decisions

Every measure has a cause, an urgency and a priority. This matches justified maintenance planning under ISO 55001:2024.

05

From building to portfolio

Site, building complex, building: ranking by backlog ratio, average grade per element group and budget per year at a glance.

06

Walk-throughs you can delegate

Your team, your FM service provider or our partners carry out the inspection. Predefined grades, catalogues and assessment guides keep results comparable.

Process

From basic data to a maintenance plan.

Basic data

Create buildings

Capture or import building type, area and year built. DOC.mobile creates the 13 element groups automatically.

Walk-through

Assess on site

Assign a grade and traffic lights per element group. Assessment guides in the app ensure consistent judgements - offline too.

Findings

Defects where it matters

For risks, operator obligations or a red light: photo, voice note, measure, cost. Priority and target year follow from cause and urgency.

Results

Reports and export

Building report per building, portfolio overview per site and an Excel export with a fixed key per measure for your investment planning.

Your results

Assessment in the app, KPIs in the report.

The images come from the demo system with fictitious sites (German user interface). Condition, due dates, standard, priorities P1-P5, 10-year budget and ESG window - all from the same data.

FAQ

Frequently asked questions on Strategic Maintenance

Our asset data has gaps. Does this still work?

That is the normal case. Building type, gross floor area and year built are enough to start; everything else is captured on the walk-through.

How reliable is an assessment without quantities?

The screening steers the portfolio. Where every euro counts, you add cost items to the finding. We calibrate the benchmarks with your projects.

Does it fit our investment planning?

Every measure has a fixed key and appears in the Excel export. Integration with SAP or your BI system is available as an option.

Who carries out the walk-through?

Your own team, your FM service provider or our partners. Predefined grades, catalogues and assessment guides keep the results comparable - no matter who inspects.

How does this differ from Technical Due Diligence?

Technical Due Diligence assesses a single asset in depth, for example before an acquisition. Strategic Maintenance assesses many buildings quickly and comparably and steers budget and priorities for the whole portfolio.

What does it cost?

That depends on portfolio size and scope - software only or including walk-throughs by our partners. Let us discuss it in person.

Start with one site.

We develop the pilot with you - from basic data to the first portfolio report. For in-depth assessment of individual assets, Technical Due Diligence complements the screening; for visual evidence, 360° Photo Documentation. Or simply get in touch.
